Who we are

This website is run by Smartmed Solutions Ltd, a company registered in England and Wales (company number 11917777). Our registered office is 20–22 Wenlock Road, London N1 7GU. We are the data controller for the personal information described in this notice.

What we collect

When you send an enquiry using the form on this website, we receive:

• your name and work email address
• your organisation, if you choose to give it
• the type of help you are looking for and the message you write

If you email us directly, we receive your email address and whatever you include in your message.

Please do not send patient information or other health data through the form or by email.

How we use it

We use your details only to reply to your enquiry and, if you want to go ahead, to discuss and plan your project. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.

We do not sell your information, and we do not add you to a mailing list.

Who else handles it

This website is hosted by Amazon Web Services (AWS). Its files are stored in AWS’s London region and delivered through AWS’s worldwide network, so pages usually reach you from a location near you. When you send the enquiry form, your details are processed in AWS’s London region and emailed straight to our mailbox. The website does not keep a copy. To stop the form being misused, it records a coded version of your connection’s IP address and counts the enquiries sent from it for one hour. AWS then deletes that record automatically, usually within a few days. AWS acts on our instructions.

Our email is provided by IONOS and stored in the United Kingdom.

How long we keep it

We keep enquiries for as long as we need them to deal with your request. If your enquiry does not lead to a project, we delete it within 24 months. If it does, we keep it with our project records for as long as we work together and as required for our legal and accounting obligations.

Interactive tools and saved workspaces

The DTAC Evidence Planner runs in your browser. Your entries are not uploaded or submitted to Smartmed. By default, they remain in the current page session. If you choose “Save on this browser”, the workspace is stored in this browser profile on this site address, where other people using the profile may be able to see it. Turning that option off removes the planner’s saved browser copy while leaving the current session open.

Exported workspaces and draft summaries are downloaded to a location managed by your browser. You control those copies separately. Please use product-level information without patient details, passwords or other secrets.

Cookies and tracking

This website does not set cookies and does not use analytics or advertising trackers. Our fonts are served from our own website, so viewing a page does not send your details to a font provider.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it or stop using it. Email info@smartmed.tech and we will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office.
